How to auto-expire client galleries in Session

Auto-expiring your galleries is an easy way to set expectations, keep storage tidy, and create urgency for downloads and extra purchases. When a gallery reaches your time limit, Session will automatically unpublish it — it will not be deleted, just moved to Unpublished so you stay in control.

1. Open your global gallery settings

  1. Go to Manage in the top navigation.
  2. Click Gallery settings.
    Here you’ll see watermark options and, right under that, the Auto expire section (like in your screenshots).

2. Turn on Auto expire and pick a time frame

  1. In Auto expire, click Change.
  2. Choose how long galleries should stay published — options like 7 days, 14 days, 21 days, 28 days, 2 months, 3 months, 6 months, 1 year, or Never expire are available (from your menu screenshot).
  3. Click Save.

From this point on, any gallery you publish or schedule going forward will use this global expire window.

3. Customize the expiration reminder email (optional but recommended)

Right next to Change you’ll see Edit expiration reminder email.

  1. Click Edit expiration reminder email.
  2. Adjust the subject and message to match your voice (e.g. “Your gallery is expiring soon!”).
  3. Session will automatically append helpful gallery details for the client — like their client code, gallery password (if set), and remaining downloads — just like the note in your screenshot shows.
  4. Save.

Session will send this reminder before the gallery unpublishes, so clients get a heads-up.

4. What actually happens when a gallery expires?

  • The gallery is automatically moved from Published to Unpublished.
  • Rest assured: the gallery is not deleted. All images, favorites, downloads, and settings stay put.
  • You can republish it at any time if a client needs extra access.
  • You can still override the expiration inside an individual gallery if a specific client needs more (or less) time — global just gives you a default.

5. Notes to remember

  • Global setting only affects galleries published/scheduled after you turn it on.
  • It’s the easiest way to make sure every gallery you deliver has a clear end date.
  • Great for building in “re-open” upsells (“I can re-open your gallery for 7 days for $X”).
