How to manually book a client

Summary:
If a client booked with you in person, over DMs, or in another system, you can still add that booking to Session.

Create the session

  1. Go to Sessions in the top navigation.
  2. Click New.
  3. Click New full session.
  4. Enter the client name or session title.
  5. (Optional) Choose a Session type.
  6. (Optional) Pick a Session date if you already have it.
  7. Click Create full session.

This creates the session in Session.

Book it for the client (manual booking)

  1. After the session is created, click Actions → Book for client.
  2. In the Manual booking screen, choose the client (or add a new one).
  3. Select the package the client purchased.
  4. In Amount already collected, enter any money you already took outside of Session (cash, Venmo, other system).
  5. Choose if you want to send a confirmation email.
    • Turn it on if you want Session to send the client their details now.
    • Turn it off if you already sent details another way.
  6. Click Book.

Session will now treat this like any other booking. The client can sign contracts, complete questionnaires, and receive reminders depending on how the session is set up.

When to use manual booking

  • You are moving from another CRM and want upcoming sessions to live in Session
  • A client paid you in person
  • You booked them over the phone or in DMs
  • You want accurate reporting and client history in Session
